BOARD OF TRUSTEES MEETING MINUTES

Date of Meeting:  Wednesday, July 27, 2022 @ 7:00 pm

Members Present: Nancy Glynn (Chair); Catherine Paden (Treasurer); Emily Cooper; Lauren Avery; Elizabeth Geraghty (Library Director)

Members Absent: none

Note: This meeting was conducted on ZOOM for all present. The Board met in person at the Sutton Free Library for their Board of Trustees Meeting. The public, per the Governor’s Executive Order 2020-04, Section 8, Emergency Order #12 Section 3, had the option to Zoom in to this meeting.

Public Present: 3 members of the public were present (Shannon Storm of the Sutton Friends of the Library via Zoom; Marcy Vierzen; Tracy Mingarelli)

CALL TO ORDER:

Roll Call, Introduction of Guests:

The Sutton Free Library Board of Trustees (SFL BOT) meeting was called to order at 7:05 pm by Board Chair Nancy Glynn, and roll taken. There were 3 members of the public present. Further, no members of any households of trustees were present within listening of this meeting. 

Public Comments: 

Shannon Storm, representing Friends of the Sutton Free Library, shared that the Friends are proposing a Library Open House. The Friends could provide games and refreshments and have acquired a $250 grant that could be utilized for this event. The SFLBOT shared interest in hosting this event and proposed September 10th from 10-12. Marcy Vierzen and Director Elizabeth Geraghty will create an ad to promote the event.  

 

Review of Minutes:

Minutes from the May meeting were reviewed with corrections made. Board Chair Glynn made a motion to approve the minutes, seconded by Board Member Emily Cooper. The motion was carried unanimously in the affirmative.

Correspondence: 

Director Geraghty shared the NHLTA Newsletter and a letter from the KRSD Facilities Director regarding safe drinking water in and around Sutton Central School.

REPORTS:

Financial/Treasurer’s Report:

Board Member Catherine Paden noted the beginning balance of the Trustee Account at Sugar River Savings Bank in May was $12,444.08 with $2.47 interest earned and a debit of $2,473 for Owl Labs (a virtual meeting tool) for an ending balance of $9,123.56. There are no new funds to accept. Board Member Paden noted the beginning balance of the Trustee Account at Sugar River Savings Bank in June was $9,123.56 with $1.41 interest earned and a debit of $2,371.75 for supplies for an ending balance of $6,753.22 . 

Board Member Paden noted the beginning balance on the Operating account in May was $25,774.59, with an ending balance of $23,382.53. Interest earned on the Operating account for the month of May was $5.25. The beginning balance on the Operating account in June was $23,382.53, with an ending balance of $22,695.86. Interest earned on the Operating account for the month of June was $4.76.

Buildings & Grounds:

Director Geraghty reported that BPL Heating and Air Conditioning looked at the outdoor spigot and determined that it isn’t connected. A quote for repair is expected soon. Board Member Cooper will contact DigSafe for the outside bulletin board. Ben Prime has volunteered to dig the holes for the bulletin board. The Selectboard is compiling a “building maintenance spreadsheet.” Matt Grimes, the town building inspector and Mark Peterson of the Sutton Budget Committee inspected town buildings in June, including the library. Betsy Anderson has had several conversations with the gardener about the upkeep and concerns. Board Member Glynn made a motion to terminate the gardener contracted by Whiskey Pine. Board Member Paden seconded the motion. The motion was carried unanimously in the affirmative.

Director’s Report:

Director Geraghty shared the Visits and Circulation Report as of July 26, 2022. Director Geraghty noted that Summer Programming went well and was well attended. Museum passes now include one to The Squam Lakes Natural Science Center. Upcoming storytimes include a principal storytime with Principal Christine Downing of Sutton Central School and a storytime with Sutton resident Kathy Lowe. Director Geraghty also shared about the new Collaborative Community Art Project for all ages, creating a collage above the library mantle. Director Geraghty requested permission from the SFLBOT to give away or donate unused items that have been taking up space in the storage rooms downstairs for years.  

Friends of Sutton Library Liaison/ NHLTA Liaison:

Board Member Lauren Avery noted that she attended the community cook-out with the Friends of the Library and they might purchase lawn games for SFL to loan out to patrons.  

 

OLD BUSINESS:

MOU: Board Chair Glynn will request a meeting to discuss the MOU agreement with the Selectboard on Monday, August 22nd, with a back up date of September 12th.

NEW BUSINESS:

Board alternate and vacancy position recommendations were voted on and will be forwarded to the Selectboard. Board Member Cooper made a motion to recommend Tracy Mingarelli as a trustee of the Sutton Free Library to the Selectboard to finish the year left on Marcy Vierzen’s term. Board Member Avery seconded the motion. The motion was carried unanimously in the affirmative. Board Member Paden made a motion to recommend Betsy Anderson as an alternate for the SFL BOT. Board Member Avery seconded the motion. The motion was carried unanimously in the affirmative. Board Chair Glynn made a motion to recommend Nancy Heckel as an alternate for the SFL BOT. Board Member Cooper seconded the motion. The motion was carried unanimously in the affirmative.

The SFL BOT chairperson role was voted on. Board Member Cooper made a motion to nominate Nancy Glynn as the chair of the SFL BOT. Board Member Paden seconded the motion. The motion was carried unanimously in the affirmative.

The next Sutton Free Library Board of Trustees Meeting is Wednesday, August 17 at 7pm.

Board Chair Glynn made a motion to adjourn the meeting, and this was seconded by Board Member Cooper. The motion was carried unanimously in the affirmative. The Board of Trustees meeting ended at 8:57pm.
