BOARD OF TRUSTEES MEETING MINUTES

Date of Meeting:  Wednesday, November 2, 2022 @ 7:00 pm

 

Members Present: Nancy Glynn (Chair); Catherine Paden; Emily Cooper; Tracy Mingarelli; Nancy Heckel (Alternate); Elizabeth Geraghty (Library Director)

Members Absent: Lauren Avery; Betsy Anderson (Alternate)

Note: This meeting was conducted on ZOOM for all present. The Board met in person at the Sutton Free Library for their Board of Trustees Meeting. The public, per the Governor’s Executive Order 2020-04, Section 8, Emergency Order #12 Section 3, had the option to Zoom in to this meeting.

There was no October meeting.

CALL TO ORDER:

Roll Call, Introduction of Guests:

The Sutton Free Library Board of Trustees meeting was called to order at 7:04 pm by Board Chair Nancy Glynn, and roll taken. There were no members of the public present. Further, no members of any households of Trustees were present within listening of this meeting. 

Public Comments: none

Review of Minutes:

Minutes from the September meeting were reviewed with corrections made. Board Member Catherine Paden       made a motion to approve, with revisions, the minutes to the September meeting, seconded by Board Chair Glynn. The motion was carried unanimously in the affirmative.

REPORTS:

Financial/Treasurer’s Report:

Board Member Paden noted the beginning balance of the Trustee Account at Sugar River Savings Bank in September was $6,755.87 with $1.45 interest earned and no debits for an ending balance of $7,405.93. The Trustee Account was updated with the deposit of $648.61 from the book sale and “jar.” These funds are restricted use-funds for books. The beginning balance on the Operating Account in September was $19,168.37, with an ending balance of $15,803.00. Interest earned on the Operating Account for the month of September was $3.75.  The fraud charges were reconciled from August.  

Board Member Paden noted the beginning balance of the Trustee Account at Sugar River Savings Bank in October was $7,405.93 with $1.57 interest earned and no debits for an ending balance of $7,407.50. There are no new funds to accept. The beginning balance on the Operating Account in October was $15,803.00, with an ending balance of $15,496.83. Interest earned on the Operating Account for the month of October was $3.32. 

 

Buildings & Grounds:

Director Elizabeth Geraghty reported that the Sutton Selectboard reviewed the quotes for library repairs, including a dehumidification system, electrical repairs, and new oil tank. The Selectboard requested 2-3 quotes for each repair and requested that quotes come from companies that do not charge for their estimates. Irving has been approved to install the new oil tank. Board Member Emily Cooper will request a quote from Wet Basement Solutions for the dehumidification system as well. A quote from Irish Electric for electrical repairs and upgrades was received. Another electrical repair quote from an additional company is expected shortly. Board Chair Glynn will contact septic companies regarding the plumbing repairs. Scott French from Claremont and Bennett Builders will provide quotes for moving the bookshelves for ADA compliance.  Mike Gebo is working on installing the outside bulletin board. Director Geraghty reported that Lauren Avery and Lori Avery worked to put the library gardens to bed for the winter. An invoice from Lori Avery was requested. Board Member Cooper will look into a quote for anti-glare work for the StoryWalkⓇ.  

 

Director’s Report:

Director Geraghty noted that there are new office partitions for the library director desk. About 115 students, staff, and parents from the Sutton Central School visited during their annual Halloween Mask Parade. Patrons requested starting up an in-library book group again. The first book group will meet November 15th at 5:30 and will read Remarkably Bright Creatures.  All are welcome to attend. Director Geraghty requested help with cleaning out the items in the basement that were moved out of the storage closet for the new oil tank installation. 

Director Geraghty reported that there are many Sutton and New Hampshire historic books in the basement closet and she has concerns about the humidity in that area of the library.  Board Member Tracy Mingarelli made a motion to transfer the historic books to the Sutton Historical Society. Board Member Paden seconded the motion.  The motion was carried unanimously in the affirmative. 

Director Geraghty recommended hiring Kristin McCarthy as a library substitute. Board Chair Glynn made a motion to hire Kristin McCarthy as a library substitute for $13/hour. Board Member Paden seconded the motion.  The motion was carried unanimously in the affirmative.

 

Friends of Sutton Free Library Liaison/ NHLTA Liaison:

Director Geraghty reported that the friends have secured a $1,500 grant from Sam’s Club/Walmart. Director Geraghty and Assistant Librarian Kristin Snow recommend $1,200 for museum passes and $300 for programs.  Passes for the Boston Museum of Fine Arts, McAuliffe-Shepard Planetarium, and Montshire Museum of Science will be purchased.  

The Friends of Sutton Free Library also reported that 58 people visited the Friends table at the Strut in Sutton and the library had 157 visitors on Halloween night. 

 

NEW BUSINESS:

The 2023 proposed SFL Operating Budget for the Selectboard meeting on Monday, November 7 was discussed. Board Member Paden reported that the Selectboard and Budget Committee would like quarterly reports in the future, including specific expenditures and revenues.  

Board Member Cooper made a motion to accept COLA funds if they are offered through the town for the Library Director and Assistant Librarian. Board Member Paden seconded the motion. The motion was carried unanimously in the affirmative.

 

The next Sutton Free Library Board of Trustees Meeting is Thursday, December 8  at 7pm.

Board Chair Glynn adjourned the meeting at  8:27 pm.
