BOARD OF TRUSTEES MEETING MINUTES 

Corrected and Approved Minutes 

Date of Meeting: Thursday, February 1, 2024 @ 7:00 pm (No January meeting)

Members Present: Nancy Glynn (Chair); Catherine Paden; Lauren Avery; Tracy Mingarelli; Betsy Anderson (Alternate) on zoom; Elizabeth Geraghty (Library Director) 

Members Absent: Emily Cooper 

Note: This meeting was conducted on ZOOM for all present. The Board met in person at the Sutton Free Library for their Board of Trustees Meeting. The public, per the Governor’s Executive Order 2020-04, Section 8, Emergency Order #12 Section 3, had the option to Zoom in to this meeting. 

Public Present: No members of the public were present 

CALL TO ORDER: 

Roll Call, Introduction of Guests: 

The Sutton Free Library Board of Trustees meeting was called to order at 7:01 pm by Board Chair Nancy Glynn, and roll taken. There were no members of the public present. Further, no members of any households of Trustees were present within listening of this meeting. 

Public Comments: none 

Review of Minutes: 

Minutes from the December meeting were reviewed with corrections made. Board Member Catherine Paden made a motion to approve, with revisions, the minutes to the December meeting, seconded by Board Member 

Lauren Avery. The motion was carried unanimously in the affirmative. 

Correspondence: 

Director Elizabeth Geraghty reported that Capitol Alarm came in December for an inspection and sent their report. Capitol Alarm noted in the inspection report that the fire alarm needs two forms of communication, such as two phone lines. Director Geraghty will follow up with Town Administrator Julia Jones on this. 

Board Chair Glynn noted that she received the Wage and Benefits Analysis Study from the town.

REPORTS: 

Financial/Treasurer’s Report: 

Board Member Paden noted the beginning balance on the Operating Account in December was $ $13,857.65, with an ending balance of $11,839.42. Interest earned on the Operating Account for the month of December was $4.99. 

The beginning balance of the Trustee Account at Sugar River Savings Bank in December was $7,287.60 with $2.78 interest earned and an ending balance of $7,290.38. 

Board Member Paden made a motion to approve the December 2023 Treasurer’s Report. Board Member Avery seconded the motion. The motion was carried unanimously in the affirmative. 

Board Member Paden reported that the quarterly reports and annual report were submitted to the town. 

Board Member Paden made a motion to approve the 2023 budget report as prepared by the town auditor. Board Chair Glynn seconded the motion. The motion was carried unanimously in the affirmative. 

Director Geraghty noted that the library received the first appropriation for the 2024 budget. The Budget Committee public hearing is Thursday, February 8th at 7:00 pm at the town hall. 

Buildings & Grounds: 

Board Member Avery reported that she contacted an appliance repair contractor regarding the refrigerator in the library kitchen. The contractor stated that they could not fix the refrigerator. Board Member Avery will follow up with the contractor about removing the appliance and replacing it with a mini refrigerator. 

Director Geraghty reported that the lock on the front door of the library is sticking again. Board Member Avery will follow up with the Town Administrator about fixing the door. 

Director Geraghty noted that she sent the furnace maintenance reminder to the previous Town Administrator a few months ago and it wasn’t followed up on. Director Geraghty spoke with the new Town Administrator, Julia Jones, and she will follow up on getting the furnace maintenance completed. 

Director’s Report: 

Director Geraghty noted that she has started research for the Summer Reading Program. The library’s annual report for the town report was shared with Trustees. It was noted in the report that circulation was up significantly in 2023. Director Geraghty noted that Town Administrator Julia Jones met with her and Kristin Snow, Children’s Librarian. The library staff and Board of Trustees are optimistic about future communication in relation with the new Town Administrator. She will be on the agenda for next month’s meeting. 

Friends of Sutton Free Library Liaison/ NHLTA Liaison

Board Chair Glynn noted that Board Member Emily Cooper, Friends of the SFL Liaison, hasn’t received a response for permission for the Friends of the Library to meet at the town hall. The Friends need an accessible meeting space and therefore, cannot meet at the library due to inaccessibility. Board Chair Glynn will follow up with Town Administrator Julia Jones about this matter. Board Chair Glynn reported that recent funding from the Friends of the Library will be used for museum passes. 

OLD BUSINESS: none 

NEW BUSINESS: 

There was brief discussion about the open positions for the library Board of Trustees on the upcoming March ballot. 

The next Sutton Free Library Board of Trustees Meeting is Thursday, March 21st at 7pm. 

Board Member Paden made a motion to adjourn. Board Member Tracy Mingarelli seconded the motion. The motion was carried unanimously in the affirmative and the meeting was adjourned at 7:47 pm.
